How Artwork Review works
Piano uploads the approval PDF, the client reviews each artwork from a private link, and the PM tracks it all here. No more chasing approvals over email.
Send artwork for review
For Piano and anyone sending artwork
- Set up the campaign once (PM)Campaigns > + New campaign. Add the name, client, file code (e.g.
AMD_AAI26), PM and client reviewers. This is the only time any of it is typed. - Name the PDF the usual way (Piano)e.g.
[AMD_AAI26] Artworks-Approval-V1-2.pdf. The code in brackets picks the campaign andV1-2fills in "Round 1, revision 2". - Send artwork: drop the PDF inThe campaign is selected automatically. Each page becomes its own artwork, with title, details and Option 1 / 2 / 3 read from the page. Only edit if something's off.
- Add a note if useful, then Send for reviewReviewers, PM and due date all come from the campaign. Need different reviewers just this once? Use "More options".
Track and chase on the Dashboard
For PMs

- My projects / All projects"My projects" shows reviews where you're the PM or the sender. Use "All projects" to see everything.
- Send reminderEmails the client again in one click. Reminders also go automatically every 2 business days at 9am Sydney time until everything is decided.
- Open a reviewClick the review name to see exactly what the client sees, all comments and pins, plus buttons to copy each reviewer's private link.
- ArchiveHides the review and closes the client's link. Use it when a review is done or was sent by mistake. Restore any time from "Archived".
What the client sees
Good to know when a client asks
- A private link by emailNo login or password. Works on desktop and mobile.
- One artwork at a timeA list of all items on the left, the artwork large in the middle, and their progress at the top.
- Pick an option, approve, or request changesIf a page has options, they must pick one before approving. "Approve all remaining" handles everything left in one go.
- Pin commentsClicking anywhere on the artwork drops a numbered pin with a comment, so feedback lands exactly where it's meant.
- UndoThey can change a decision until the next round is sent.
Who gets emailed, and when
All emails come from Ripple TX Artwork Review. Client replies go to the PM.

Sending a revision
After the client requests changes
- Update only the items with changesApproved items stay locked in the previous round, so there's no need to send them again.
- Bump the file namee.g.
V1-2becomesV1-3, and upload as a new review. The round label fills in automatically. - Say what changedThe "What changed" note shows at the top of the client's page and in the email.
Security
How access is controlled
- Team pages need a Ripple TX emailOnly rippletx.com, rippletx.com.au and rippletx.com.sg addresses can get a sign-in link. Anyone else gets nothing. You stay signed in on that device for 30 days.
- Each client link is unique and signedIt's tied to one reviewer and one review. It can't be guessed or edited to open another review, and it never shows other projects or clients.
- Treat client links like a passwordAnyone with the link can review as that person. If a client forwards it to a colleague, add the colleague as a reviewer instead. Archive the review to close every link.
- Automatic clean-upOnce everything is approved, the client's link stays open for 14 days, then the review is archived and the link closes. The artwork images are deleted 30 days after approval. The record of who approved which option, and when, is kept. Unfinished reviews with no activity for 60 days are archived. Final files live in Drive as usual.
- Private by defaultThe site is hidden from Google, files are stored in Sydney under random addresses, and all traffic is encrypted.
Questions
- The client can't find the email
- Open the review and click "Copy [name]'s link", then send it to them directly. Ask them to check spam for "Ripple TX Artwork Review".
- I need to add or change a reviewer
- Send a new review with the right reviewers. The project remembers them for next time.
- The title or options were read wrong
- Edit them on the Upload page before sending. Anything you type replaces what was detected.
- Something went wrong
- Message Karo with the review name and a screenshot.
